Kin Living Condo LLC (“Kin Living”, “we”, “us”) manages homeowner and condominium associations in Portland, Oregon. This policy explains what personal information we hold, why we hold it, and who we do and do not share it with.
Mobile information and SMS consent
Your mobile information and SMS opt-in consent are never shared with, sold to, or rented to third parties or affiliates for any purpose, including marketing or promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with, sold to, or rented to any third parties. Message frequency varies, and message and data rates may apply according to your mobile plan.
We use your mobile number only to send you the messages described in our SMS Terms — emergency and life-safety notices for your building, and, if you have agreed to them, routine maintenance and association messages. We keep a record of your consent: what wording you were shown, when you agreed, and where. That record exists so we can show, later, that we had permission.
Message delivery is carried out by our messaging provider acting on our instructions. Your number is disclosed to them for that purpose alone. It is not sold, rented, or passed to anyone for marketing.
What we collect
Association records — your name, unit, contact details and ownership or tenancy status, provided by your association or its prior manager.
Requests and correspondence — maintenance requests, messages you send us, and our replies.
Documents — records that relate to your unit or association, including notices we are required to send and retain.
Payment information — assessment and payment history. Card and bank details are handled by our payment processor; we do not store them.
Site information — if you submit an inquiry form on this website, what you entered, plus the time and originating IP address, which we use to prevent abuse of the form.
Why we use it
To manage your association and perform our management agreement.
To respond to you, and to keep a record of having done so.
To send notices we are legally or contractually required to send.
To send emergency and life-safety notifications.
To meet our record-keeping and retention obligations.
We use AI assistance in parts of our workflow — for example to draft a reply or to summarize a document. Communications that go out to residents are reviewed by a person before they are sent.
Who we share it with
We share personal information only with:
Your association and its board, for the purposes of managing it.
Service providers acting on our instructions — messaging, email, payments, and hosting — limited to what each needs to perform its function.
Vendors and contractors, where a work order requires it (for example, unit access for a repair).
Authorities or counsel, where the law requires it or to establish or defend legal claims.
We do not sell personal information, and we do not share it for cross-context behavioral advertising. As stated above, mobile numbers and SMS consent are excluded from any sharing whatsoever beyond the messaging provider that delivers the message.
How long we keep it
Association and financial records are retained for the periods required by Oregon law and by the association’s governing documents. Consent records are retained for as long as we may need to evidence the consent, and for four years after it ends.
Your choices
Text messages — reply STOP to any message, or change the setting yourself in the resident portal under Messages. See the SMS Terms for what STOP does and does not stop.
Access and correction — ask us for a copy of the information we hold about you, or ask us to correct it.
Deletion — ask us to delete it. We will, except where a record must be retained by law or by the association’s governing documents.

Security
Access to resident records is restricted to the people who need it, and actions taken on those records are logged. No system is perfectly secure, but we do not treat that as a reason to be casual.
Children
Our services are directed to residents and owners, not to children, and we do not knowingly collect information from anyone under 13.
Changes
If we change this policy we will update the date above. Where a change affects how we use your information materially, we will tell you.
